Enterprise Content Management space
ECM (Enterprise content
management) exists pretty much in every company in the world. It ranges from saving documents in a folder just by using OS support, to using a complex platform
like Documentum for mission critical business transactions. ECM is implemented
or used in various forms. Most popular are shown in the above picture.
For example all the content (images, documents, videos and audio files etc.) used for a website can be managed using web content management system. Web CMS have been around from past two decades and been evolving the same way as ECM systems and they have overlapping functionality.
ECM projects usually start from capturing the content via multiple sources like paper scan, fax, email, content from ERP (SAP), CRM or accounting systems or any other third party softwares, or it can be documents created by online form submissions.
All the content captured will be classified using company’s inherent Data model that complies with the business requirements. Once stored in the company servers now the content will be consumed by business users in a variety of formats for specific applications needs. Once the content has been used it needs to be archived, retired or deleted based on the business policy in place. For Example tax records should be saved for about 6 to 8 years for audit purposes and after that you can shred them. If you have an ECM system in place and have the right retention policy set on tax documents, they will get archived or deleted automatically. Also the confidential business content needs to be controlled with proper access controls which will be a snap using an ECM system in place.
An ECM project can become quit complex if right mix of systems, platform, software and technical man power is not employed. Understanding business requirements and scoping them according to the tools available in the market itself is quite challenging to many PMs and stake holders.
